Your Privacy. Our Responsibility.

We respect the trust you place in Team Melodies. Learn how information submitted through our website, artist applications and event enquiries is handled.

Last Updated: 12 October 2026
This policy describes the intended handling of information through our website. Actual data practices depend on the features, plugins and services currently enabled.

01. Information We Collect

Depending on how you use our website, we may collect:

  • Website visitors: technical information such as browser, device and usage data where collected by hosting, cookies or analytics.
  • Artist applications: name, contact details, location, artist category, experience, music preferences, performance links, introduction and requested identity documents.
  • Event enquiries: name or organisation, email, phone number, event type, preferred date, location, budget and event requirements.
  • Future ticket bookings: information needed to manage bookings, payment verification, ticket delivery and customer support when those features become operational.

02. How We Use Information

We may use submitted information to:

  • Respond to questions, messages and event enquiries.
  • Review artist applications and assess suitability for potential collaborations.
  • Verify identity where reasonably necessary.
  • Contact shortlisted artists about potential projects.
  • Coordinate live-show enquiries and, when available, ticket bookings.
  • Maintain website security and comply with applicable legal obligations.

Submitting an application does not guarantee selection, compensation, a film-song opportunity or a worldwide music release.

03. Artist Videos and Identity Documents

Performance links and identity documents are intended for application review and verification. Please submit only material you have permission to share.

The current collaboration form is designed to email applications and attach the submitted identity document to the administrator's email. Email attachments may remain in mailboxes or backups. Access should be restricted to authorised reviewers, and documents should be deleted when no longer necessary.

We do not intend to display identity documents publicly on the website. However, online transmission and electronic storage cannot be guaranteed to be completely secure.

04. Sharing Information

We do not intend to sell personal information to third parties. Information may be shared when necessary with:

  • Website hosting, email and technical service providers.
  • Authorised team members reviewing applications or managing events.
  • Payment and ticketing providers once those services are implemented.
  • Authorities where disclosure is required by applicable law.

05. Cookies and Technical Data

Our website or service providers may use cookies or similar technologies for essential functions, preferences, security and website analytics. Actual usage depends on the theme, plugins and services installed. You can manage cookies through your browser settings. Where required by law, appropriate notice or consent will be provided for non-essential technologies.

06. Data Retention

Information should be retained only as long as reasonably necessary for application review, event coordination, support, security, recordkeeping or applicable legal requirements. Identity documents should not be retained longer than necessary. Some records may need to be kept to resolve disputes or meet legal obligations.

07. Data Security

We aim to use reasonable safeguards against unauthorised access, loss, misuse or disclosure. Access restrictions and appropriate technical measures should be used to protect submitted information. No website, email system or online transmission method is completely secure.

08. Your Privacy Requests

Subject to applicable law, you may contact us to request access to your personal information, correction of inaccurate information, deletion where appropriate, withdrawal of consent where applicable, or assistance with a privacy concern. We may need to verify your identity before responding, and some records may need to be retained where legally required.

09. Children's Privacy

Applicants under 18 should involve a parent or legal guardian and obtain appropriate consent before submitting an application or identity document. We may request additional verification where necessary.

10. Third-Party Websites

Our website may link to platforms such as YouTube, social networks, video-hosting services and future payment providers. These platforms operate under their own privacy policies and control their independent data practices.

11. Changes to This Policy

We may update this policy when our services, website features, data practices or legal requirements change. The revised version will be published on this page with an updated date.
